PacLease Office Administrator Job Summary:
The primary function of the PacLease Office Administrator is to provide administrative support for the PacLease District Office Manager and PacLease Staff.
Earn $22 - $25 an hour (DOE)!
PacLease Office Administrator Duties and Responsibilities:
1. Tolls and violations, research to locate unit number and customer, research online to find out if paid and if not contact customer to pay or re-bill and pay toll.
2. Insurance compliance with Paccar Leasing Co.- Maintain files with current lease certificates and approvals from Paccar. As the certificates expire, contact insurance company to obtain current insurance. This includes monthly reporting and updating to Paccar Leasing Co.
3. Fuel Tax Reporting- Balance monthly reports, removing sold units, and transfers between locations.
a. Missing fuel reports monthly, contacting lease customers to obtain missing fuel receipts and advising Paccar when to close a trip after all fuel received per customer.
b. Monthly billing of IFTA reports received from Paccar to the customer.
4. Responsible for reporting and communicating all accidents involving units in our lease and rental fleet to Paccar and within PacLease Department personnel.
5. Upload documents for vehicles into operating system for existing trucks and new vehicles. This will be an ongoing project.
6. Issuing purchase order’s and making sure the vendor gets paid through accounts payable.
7. Completing IRS paperwork for each truck that qualifies and communicating that information to the Department of Motor Vehicles.
8. Support sales and rental departments regarding truck information, registration, set up, etc.
9. Assist customers with billing questions and sending back up documents upon request
10. Assist monthly updating and maintaining all ongoing paperwork for entire fleet.
11. Follow processes and procedures established with District Office Manager in order to make sure that all administrative needs for the PacLease Department are being met.
Other duties as assigned.
PacLease Office Administrator Qualifications:
Ability to read and comprehend instructions and information. High school diploma or the equivalent. Knowledge of all types of new and used trucks and their components preferred. Proficient with computer systems, ten-key calculator and large data bases. Professional personal appearance. Excellent communication and organizational skills required.
WORKING CONDITIONS:
The PacLease Office Administrator works both indoors and out, moving about the dealership facility and lot to communicate with the dealer, managers, salespeople and customers. S/he must bend, stoop, kneel and crouch. Will be exposed to noise, vibration, dust, pain and other hazardous and non-hazardous materials. Must also spend extensive periods of time at a desk, reviewing detailed information and inputting data on video display monitor.
